Inventory & Stock Management: A Practical Guide for UK Businesses

General information only. This is not tax, legal or financial advice. Check HMRC guidance or speak to an accountant for your situation.

When stock is kept in a spreadsheet, sales in one system and supplier orders somewhere else, it becomes difficult to answer simple questions: what is available, what has moved and what needs ordering?

LedgerlyPro Inventory & Stock brings those records into the same workspace as everyday bookkeeping. It is designed for businesses that sell physical products and want a clear, reviewable stock history without adding another subscription.

What the product keeps together

Product records

Create a product list with the details needed to recognise and manage each item. A consistent product record gives purchase orders, stock movements, invoice-linked sales and reports the same reference point.

Append-only stock movements

Stock changes are recorded as movements rather than silently rewriting history. Stock in, stock out and adjustments remain visible, helping you understand why the current quantity changed.

Moving weighted-average cost

When stock is purchased at different prices, LedgerlyPro maintains a moving weighted-average cost. This provides a consistent cost basis for stock reporting while preserving the underlying movements for review.

Purchase orders

Prepare purchase orders from the same product records, keep supplier orders organised and follow what has been ordered before recording stock received.

Invoice-linked stock sales

When an invoice contains a linked stock product, the sale can create the corresponding stock movement. The invoice remains the original customer document; inventory records the quantity movement separately.

Stock reports

Review current quantities, movement history and stock values from the records held in the inventory module. Reports are most useful when products and movements are kept current, so review unusual quantities and costs before relying on them.

A simple working routine

  1. Add each physical product once with a clear name and reference.
  2. Use purchase orders to organise supplier orders.
  3. Record stock received when it arrives.
  4. Link stock products to invoice sales.
  5. Review movements and low quantities regularly.
  6. Investigate adjustments instead of overwriting unexplained differences.

This creates a traceable path from purchase to stock movement to customer sale.

What Inventory & Stock does not change

The module does not rewrite invoices, expenses, tax figures or other financial records. It does not file VAT returns or payroll RTI, and it is not a replacement for physical stock counts. Your records still depend on accurate quantities, product links and review.
