Hiring your first employee? Payroll just became your job

The moment you take on staff, UK law makes you responsible for running payroll properly: every worker must receive an itemised payslip on or before payday, and payroll figures need to be reviewed before HMRC submission.

LedgerlyPro helps you keep employee records, record the deductions you have checked, create PDF payslips and keep monthly payroll summaries for your accountant. Payslips are downloaded for secure distribution.

What LedgerlyPro payroll does — and doesn't — cover

LedgerlyPro includes payroll records and payslip tools in the same £9.99/month subscription as invoicing, expenses, Controlled Statement Import and tax-planning figures, with no separate per-employee fee.

It is not a full payroll bureau. LedgerlyPro does not send Real Time Information (RTI) submissions, set up workplace pensions or handle year-end payroll filings, so you will still need your accountant or HMRC-compatible payroll software for those. Check which route suits your business before you rely on it.

Payroll records beside your books

LedgerlyPro keeps employee records, payslips and monthly payroll summaries beside your bookkeeping workspace, making it easier to review payroll information with your accountant. Payroll figures remain indicative and are not RTI submissions.

  • Employee records and payslips kept beside your bookkeeping
  • Monthly payroll summaries with indicative employer costs
  • Payslips can be included in the monthly report you share with your accountant
  • Read-only accountant access, included in your subscription

Frequently asked questions

What is the best payroll software for a UK small business?

It depends on what you need. LedgerlyPro keeps employee records, works out gross pay and produces PDF payslips and monthly summaries in its £9.99/month subscription, with no fixed employee cap. It does not calculate PAYE or submit payroll (RTI) to HMRC, so you or your accountant will still need HMRC-compatible payroll software for that.

Does LedgerlyPro calculate PAYE and National Insurance?

No. You enter the PAYE, employee National Insurance and other deductions, for example the figures from your accountant or HMRC's tools. LedgerlyPro works out gross pay and shows an indicative employer National Insurance and pension cost for planning.

Can I email payslips to employees?

LedgerlyPro generates PDF payslips for you to download and distribute securely. Built-in payslip email delivery is not currently included.

How much does payroll cost per employee?

LedgerlyPro does not charge a separate per-employee payroll fee. Payroll tools are included in the subscription, with no fixed employee cap.

Does LedgerlyPro submit payroll to HMRC?

No. LedgerlyPro does not send Real Time Information (RTI) submissions to HMRC. Use it for employee records, gross pay, payslips and monthly summaries, and file RTI through your accountant or HMRC-compatible payroll software.
