Why switching to LedgerlyPro is painless
We built LedgerlyPro for the moment your last accounting bill landed and you thought “there must be something simpler”. Bring your existing records with you and start from day one — no spreadsheets, no double-entry, no developer.
CSV & Excel supported
Drop a .csv or .xlsx file from any UK accounting tool — Xero, QuickBooks, FreeAgent, Sage, Wave or your own spreadsheet.
Brings everything with you
Invoices, expenses, customers, suppliers and full bank history — not just the last quarter, your entire trading record.
Automatic field mapping
We auto-detect column headers so you usually just confirm and import — no manual mapping for common providers.
AI categorisation on import
Imported transactions are auto-categorised the same way live CSV/Excel import transactions are — your data lands ready to use.
No technical skills needed
If you can attach a file to an email, you can migrate your books. The UI walks you through every step.
Review before importing
Check the detected mapping and preview the rows before confirming an import.
Your 5-step migration
The time required depends on your file and any corrections needed. Here's how the supported workflow works.
- 01
Export from your old software
In Xero / QuickBooks / FreeAgent, choose Settings → Export → CSV (or Excel). You'll get one file per data type. No advanced knowledge needed.
- 02
Drop the file into LedgerlyPro
Open Import Data in the sidebar, pick what you're importing (invoices, expenses, bank, customers, suppliers), and drag the file in.
- 03
Confirm the auto-mapping
We try to match every column automatically. If we miss one, drag and drop to fix it. Save the mapping for next time.
- 04
Preview every row
See exactly what will be imported, with red flags on duplicates, invalid dates and missing amounts. Nothing is saved until you click Import.
- 05
Import, review & start working
Your data lands inside LedgerlyPro with searchable records and reviewable category suggestions for your bookkeeping workflow.
All uploads are processed over HTTPS and parsed in memory. Files are never shared and the raw upload is discarded once the rows land in your workspace.
Check the fit before you move
Confirm which records and fields your current provider can export, compare them with LedgerlyPro's supported import formats, and keep a copy of your source records. Provider capabilities and terms can change, so verify them directly with the provider.
Switching from another tool? You're in good company.

Frequently asked questions
Can I switch from my current accounting software?
LedgerlyPro supports selected CSV and Excel import formats. Export availability and file layouts vary by provider, so review the supported fields and preview your rows before importing.
What data can I import?
Invoices (paid and unpaid), expenses with receipts, customers, suppliers, and your full bank transaction history. Our automatic field mapping recognises the most common column layouts so you rarely have to map anything yourself.
Is it difficult to switch?
Upload a supported file, review the detected column mapping, preview the rows, and confirm the import. The time required depends on the file and any corrections needed.
Will I lose any data?
No. Every import gives you a row-by-row preview before anything is saved, and failed rows are reported with a clear explanation so you can fix and re-upload. Your old software keeps your data too — we never ask you to delete the source.
Can I undo an import?
Yes. Every import is stamped with a unique batch ID. From the Import History page you can roll back the entire batch with one click — useful if you spotted a mistake or want to re-upload a corrected file.
Do imported bank transactions get categorised?
LedgerlyPro applies rules and, where configured, AI assistance to suggest categories for imported transactions. Review those suggestions before relying on tax estimates or reports.
Is there a charge for importing?
No. Imports are free on every plan, including the 30-day free trial. We do not charge per row, file, or migration.
Will my data stay private?
Yes. Uploads are processed over HTTPS, scanned in memory, and stored only inside your own LedgerlyPro workspace. We never sell or share customer data — see our Privacy Policy for full GDPR detail.
